<p>Often, when we feel stress at work, it has a lot to do with our time management ability or lack thereof to manage our time properly.  Everyone has certain tasks which must be done each day, while other tasks wind up being plopped on our desks to be done “right away”.  When you know how to manage your time and set goals for yourself, you will find that you not only can ease your stress, but efficiently and effectively do everything you need to do.</p>
<p><strong>Do The Every Day Tasks First</strong></p>
<p>If you have things that must be done every single day and need to be completed by a certain time, it’s a good idea to get them out of the way first.  If you are one of the people who gets to work first, you may want to knock out tasks such as going through messages, sifting through orders, getting the mail ready to go and preparing packages first thing in the morning.  Other things that may need to be done first thing in the morning include checking paper stock and reviewing your tasks for the day.</p>
<p>Some people choose to get to work early each day in an effort to get these tasks done first so they don’t have to worry about them.  Once you get in the habit of completing all of the “every day” tasks first, you’ll find that the whole rest of the day goes much more smoothly.</p>
<p>After you’ve completed your daily tasks, another good time management tip which will help you to avoid feeling stressed is to check your inboxes.  Both the one at your desk and the one in your email should be reviewed because this will help you to place priorities as to what should be done right away.  It’s not always necessary to make sure to have everything done by the time you leave work, but you want to know that all the priorities are being met.  </p>
<p>Consider putting the most important tasks at the top of your inbox and going through it that way.  Once you’ve completed one thing, you can move on to the next.  This will help you to feel as if you’re in control of your day, managing your time well and eliminate stress.<br />

Each Week Have Everything Done By Your Friday<br />
</strong><br />
If you are a Monday to Friday worker, or if you have a certain block of days off each week, you should try to have everything completed by the time you go on your weekend.  This part of time management will help you to eliminate stress because you can feel confident in the knowledge that you don’t have anything pressing waiting for you.  You’ll be better able to relax and enjoy your weekend and not worry that you didn’t get something done.</p>
<p>Do your filing, or little tasks, when you find that you have a bit of downtime from the rush of work each day.  When you have good time management skills, you will find that you can get these things done easily and effectively because you have finished your work for the day.  For instance, if you make sure that all of your work is done about a half hour before the end of your day, you’ll feel stress free and find that you have time for all of the smaller tasks such as filing that might need to be done.  </p>
<p>Good time management skills are essential in any type of work because it will help you to reduce the amount of stress you feel throughout your day and allow you to be efficient and productive in the work place.</p>

<p>Proper time management is something that we will all need to pay close attention to because it will help us get rid of time killers and put us on the road to using time more productively as well as efficiently. The first step in proper time management is to study the way that you spend time and then note down your habits as well as situations that cause you to waste time.</p>
<p>There are certainly a number of common problems that proper time management can help solve including the biggest time killer of them all – phone calls. The telephone is among the most abused instruments in modern day life and now that mobile phones are a reality you can well imagine how much time gets wasted in talking aimlessly on phones.</p>
<p>The second time killer that requires your close attention is when appliances, gadgets and machines start to malfunction. This is an area that must be addressed and by using proper time management you should be able to kill this &#8216;time killer&#8217; &#8211; an example of how machines kill time is the dreaded photocopier, when it is not working &#8211; that takes a long time to produce the first copy or a drawer that gets stuck. In such instances, proper time management is required and the offending time killer must be dealt with without any delay.</p>
<p>People that talk endlessly are another form of time killers and of course it does not take much sense to figure out a proper time management technique with which to eliminate this form of time wasting. Obviously, you should avoid such people as much as is possible because they lose all sense of time and thus will waste precious time in discussing trivial matters.</p>
<p>Another time killer is the ubiquitous traffic jams that are known to affect every large city. The amount of time that gets wasted being stuck in traffic jams is simply mind boggling and the simplest time management technique that can help avert such time wastage is starting off an hour earlier to the office so that you reach your office before the traffic begins to jam up.</p>
<p>Other forms of time killers for which suitable time management solutions need to be found include long meetings and endless queues. If you spend some time in devising solutions to these common time killers, you will find plenty of time to do the things that need to be done and thus you will become more productive and efficient.</p>

<p>Pareto was an economist who theorized that 80 percent of all problems result from 20 percent of all causes. This may seem like a complex theory which is too difficult to apply to such a thing as time management, but the Pareto 80-20 rule, as it has come to be termed, can be very beneficial when applied to problem solving in any form.</p>
<p>One of the first steps in learning to effectively utilize time is to identify repeated patterns in your daily schedule that may be interfering with productivity.</p>
<p>In looking over daily records of your time you may notice certain blocks of time which are not being used to their fullest. Once having identified these blocks of time, you can begin to make changes in your daily routine.</p>
<p>Pareto’s 80-20 rule basically means that if you can identify and change only 20 percent of the causes of problems in your current time management system, you can subsequently fix 80 percent of those problems.</p>
<p>An example of this would be to identify only two 15 minute blocks of time in your normal day when you find that you are being the least productive. By changing the way you currently use these 2 small blocks of time, theoretically you should be able to increase your productivity by up to 80 percent.</p>
<p>Better time management does not mean giving up all free time, or all the time you currently spend relaxing, or enjoying your life. Instead it helps you set priorities for managing time, eliminate wasted time, and gain more control over how you use this valuable resource.</p>

<p>One popular method of <a title="Time Management" href="http://time.improvementgoals.com/permalink.php?article=Time+Management.txt" target="_blank"><strong>time management</strong></a> that has proven to be effective for many people is the posec method. Posec stands for “Prioritize by organizing, stream-line, economizing, and contributing.”</p>
<p>To prioritize means to put first things first. The Posec method is loosely based around Laslow’s theories regarding the “Heirarchy of Needs”. It gives the individual  a realistic <a title="Time Management Tools" href="http://time.improvementgoals.com/permalink.php?article=Time+Management+Tools.txt" target="_blank"><strong>time management tool</strong></a> for setting priorities as they pertain to ones own unique needs and life goals.</p>
<p>Organizing involves making a plan to work on goals that will help the individual feel more stable and secure. (This is a plan for meeting the individuals most basic needs, including food, clothing, shelter, safety and especially for love and acceptance.)</p>
<p>Stream-lining applies to those “dirty” little jobs that no-one wants to do, but everyone must do, such as work and chores. (This involves managing and maintaining one’s stability and security.)</p>
<p>Economizing refers to things that should be done, or things that are enjoyable, but which also may not be urgently in need of being done. (Lower on the list of priorities.)</p>
<p>Contributing involves social contribution. What you give back to the world (when other goals are met then this becomes more feasible based on Laslows understanding of the human psyche).</p>
<p>The posec method offers clear guidance for assisting an individual in prioritizing goals. Theoretically this method should encourage movement upward on the “hierarchy” charts.</p>
<p>Since Laslows theories are intricately related to this method of <a title="Skills Needed For Time Management" href="http://time.improvementgoals.com/permalink.php?article=Skills+Needed+For+Time+Management.txt" target="_blank"><strong>time management</strong></a> it is helpful if the individual applying this method is familiar with his research in regards to “the Heirarchy of Needs.”</p>

<p>Time boxing is a system of time management which breaks down a long and complex task into smaller pieces. Each piece of the task must be accomplished by a specific deadline. In time boxing deadlines are not flexible, but everything else in the project is.</p>
<p>In time boxing a large task is broken down into several sections. Each section has specific guidelines for its completion. When the boxes are first “laid out”, along with their deadlines, the project may be very detailed. As each deadline approaches, if the tasks first pinpointed in the time box are not near to completion, certain aspects of those tasks may be scraped.</p>
<p>One example of this type of time management system might be to consider a script for a motion picture. The scenes are laid out in boxes, with 5 or 6 scenes to be completed at each deadline. As the deadline approaches one of scenes may be dropped, in order to finish the completion of that section of the project on time.</p>
<p>Time boxing does not work in every instance. The key element to this system of time management is the deadline. In some cases if the deadline is not met, the entire project is scraped as a result.</p>
<p>The system works best when a strict budget must be adhered to, thus preventing the extending of deadlines, in order to finish the work.</p>

<p>The bottom line is that through time management training you can improve your concentration, prioritize things easily, and limit the amount of time that you spend in multitasking and also increase productivity as well as lower stress levels.</p>
